Arts & Business Scotland

Arts & Business Scotland are looking for an experienced Events Co-ordinator to be based in our Edinburgh office. We are looking for a pro-active, dynamic individual with a sound knowledge of events.

Key Accountabilities

  • Organisation, management and logistical delivery of all governance, fundraising and capacity building events and training courses including venue booking and logistics (catering, AV etc.), budget management, speaker and attendee management, preparation of materials and event promotion.
  • Organisation, management and logistical delivery of all Development Forums including venue booking and logistics (catering, AV etc.), budget management, speaker and attendee management, event promotion.
  • Researching, negotiating hire fees and the booking of suitable venues for events throughout Scotland.
  • Marketing and communications of events, including the use of social media, and preparing and circulating regular events bulletins to A&BS’s members and wider network.
  • Providing administrative support for lead staff members and/or trainers for each event
  • Providing administrative support for lead staff members and/or trainers delivering ad- hoc bespoke training or speaking at externally organised events, including preparation of materials.
  • Organising and managing post-event evaluation, analysing and summarising feedback for the management.
  • Support in the overall delivery of the annual A&BS Awards and Grants receptions; including responsibility for venue and contractor relationships, management of the nomination process, and communication with attendees.
  • Promoting the use of and overseeing all external bookings for the A&BS meeting/training room
  • Develop and maintain all events-related budgets, and support financial policies and procedures to ensure the effective management of finances.
  • Work as a key member of the A&B Scotland team and undertake other relevant duties as may be required from time to time by the Chief Executive.

Person Specification

Essential

  • At least 2 years events organisation experience
  • Demonstrable excellence in administrative and numerical skills
  • Knowledge of Microsoft Excel, Word, Powerpoint and Outlook
  • Knowledge and experience of website and social media communications
  • Excellent oral and written communication skills
  • Demonstrable excellence in administrative and numerical skills
  • Attention to detail, methodical and accurate
  • Highly effective ability to prioritise, completing all tasks accurately within required timescales
  • A flexible and adaptable approach to work – the nature of the events may include the need for evening and weekend work
  • Demonstrable ability of a professional and customer service approach in all interactions with customers
  • Ability to relate well to others and work collaboratively as a member of a small team

    Desirable

  • Knowledge of Eventbrite and Salesforce
  • Proofreading skills
  • Knowledge of MS Project
  • An interest in the arts, heritage and creative economies
