Position Title: Assistant Course Manager
Contract Type: Part-time, annual contract (flexible hours, including one intensive
residential week)
Salary: £6,000 per year
Location: Combination of remote work and one-week residential at the summer school venue (UK)
Role Overview
The Assistant Course Manager will support the Course Manager and Artistic Director in delivering a one-week residential summer school for singers and accompanists. This role involves updating the website, contributing to the timetabling of classes and assisting with logistical arrangements, participant communications, and on-site operational tasks, ensuring the course runs smoothly and efficiently. The Assistant Course Manager will also provide updates to the Course Manager for inclusion in reports to the Board of Trustees, as required under the organisation’s responsibilities to The Scottish Charity Regulator (OSCR).
Key Responsibilities
Pre-Course Assistance
• Support participant registration and maintain accurate records.
• Assist in creating and distributing course materials, including schedules and welcome packs.
• Liaise with the venue and suppliers to confirm arrangements for accommodation, catering, and equipment.
• Updating the website with application form, copy amends and new tutor biographies.
• Assisting the Course Manager with the timetabling of classes.
On-Site Support
• Work closely with the Course Manager to ensure the daily schedule runs smoothly.
• Act as a point of contact for participants, addressing queries and escalating issues as necessary.
• Assist with logistical tasks such as room setups, catering coordination, and equipment checks.
• Monitor health and safety standards and assist in managing any incidents
Team and Participant Coordination
• Provide administrative and practical support to tutors and accompanists.
• Help supervise volunteers or support staff, ensuring roles are clearly defined and tasks are completed.
Post-Course Duties
• Assist in gathering feedback from participants and staff.
• Contribute to the final course report, which will be shared with the Board of Trustees.
• Archive materials and documentation for future use.
Person Specification
Essential Skills and Qualities
• Strong organisational skills and attention to detail.
• Effective communication and interpersonal skills.
• Proficiency with basic administrative tools (e.g., Microsoft Office, Google Workspace).
• Ability to work as part of a team and respond flexibly to changing demands.
• Ability to provide timely updates for inclusion in Board reports.
Desirable Skills and Experience
• Some experience in event management or a related role.
• Familiarity with classical music and the needs of singers and accompanists.
• Previous experience in a residential course setting.
Working Hours
• Flexible hours during the year for preparation and follow-up.
• Full-time on-site for the residential week, including evenings and weekends.
