Role Overview
The Course Manager is responsible for overseeing all aspects of the budgeting, planning, timetabling, delivery, and evaluation of a one-week residential summer school for singers and accompanists. This pivotal role ensures the smooth running of the course by managing logistics, leading the team, and acting as the primary point of contact for tutors, participants, and venue staff. The Course Manager will report to the Board of Trustees, providing regular updates and ensuring compliance with responsibilities to The Scottish Charity Regulator (OSCR) as part of the organisation’s charitable status.
Key Responsibilities
Annual Planning and Coordination
• Work with the Artistic Director and Board of Trustees to define strategic goals and ensure the course aligns with its educational and artistic objectives.
• Develop and implement operational plans and timelines, ensuring all deadlines are met.
• Provide regular progress reports to the Board of Trustees, addressing any
significant challenges or changes.
• Coordinate with the venue to secure accommodation, catering, and facilities.
• Creating and distributing the course timetable (Using an existing Excel template)
• Deciding bursary amounts for applicants based on recording submissions.
Participant and Team Management
• Oversee participant registration, ensuring accurate records and professional communication.
• Lead and manage a small team of volunteers, and assistants during the residential week.
• Collaborate with tutors and accompanists to finalise schedules, session plans, and rehearsals.
On-Site Leadership
• Take full responsibility for the smooth running of the summer school, supervising daily activities and resolving issues as they arise.
• Ensure health, safety, and wellbeing standards are met for all participants and staff.
• Act as the primary decision-maker for operational matters during the residential week.
Budgetary and Financial Management
• Devise and manage the summer school budget in collaboration with the Board of Trustees.
• Approve expenditures, maintain financial records, and provide a final budget report for review by the Board of Trustees.
Post-Course Evaluation
• Collect feedback from participants and staff, producing an evaluation report for the Board of Trustees.
• Archive course materials and documentation for future use.
Person Specification
Essential Skills and Qualities
• Demonstrated experience in event or project management.
• Strong leadership and organisational skills, with the ability to manage a diverse team.
• Excellent communication skills, both written and verbal.
• Financial management experience, including budget oversight.
• Ability to provide concise and meaningful reports to the Board of Trustees.
• Problem-solving skills and the ability to perform effectively under pressure.
Desirable Skills and Experience
• A background in music, particularly in vocal or piano performance.
• Experience running residential events or educational courses.
Working Hours
• Flexible hours during the year for preparation and follow-up.
• Full-time on-site for the residential week, including evenings and weekends.
